Main Purpose & Scope The Job

The Reservations Agent is responsible for the day to day management of the switchboard and taking reservations in accordance with Ankole Grill Policies, Procedures and Standards laid out by Management to ensure customer satisfaction.

Responsibilities:

  • Responsible for repairs, maintenance and perform ad hoc maintenances required.
  • Manning the switchboard and this includes ensuring that there is always someone at the switchboard. All phones must be answered by the third ring.
  • Ensuring that no guest is put on hold for more than 30 seconds.
  • Channeling telephone calls to the respective persons.
  • Making telephone calls for the Managers, taking down their messages whenever they are not on duty.
  • Attending to all guests who come to the office and ensuring that they get the assistance that they may need as soon as possible. Nobody should be kept waiting for long.
  • Oversee all activities including the day to day running of the Reservations department.
  • Update all the bookings as you receive them.
  • Follow up all debtors who have visited our restaurant for meetings, lunch or dinner in liaison with the Events Manager.
  • Liaise with the Events Manager and do checklists for various functions and large groups coming to the restaurant.
  • Prepare a report on daily booking in the main restaurant. This report should be distributed to and made available to the management.
  • Follow up on all no shows and give feedback accordingly.
  • Take bookings daily and update the diary accordingly.
  • Be sure to space out all bookings for all service periods to avoid service pressure.
  • Maintain established filing systems of all correspondence.
  • Occasionally meet clients and advise on booking requirements and follow up with official correspondence.
  • Make monthly calendar of events for all venues.
  • In addition to the above, Reservations Agent may be given such other duties, as the Management may deem necessary.

Qualifications

  • Diploma or Degree in Front Office Management or its equivalent from a recognized institution.
  • Hospitality Certification would be an added advantage.
  • Well-organized and detail oriented.
  • 3 years’ experience in the hospitality industry in a similar role preferably in a 4 star or 5 Star establishment.
  • Excellent reading, verbal and written English and Kiswahili skills.
  • International bilingual skills are a plus.
  • Capable of effectively & efficiently delegating multiple tasks.
  • Mathematical and analytical skills.
  • Be tech savvy and have a working knowledge of various computer software programs (MS Office).
  • Strong safety and hygiene awareness
  • Be open to working flexible shifts and on weekends and holidays.
