PROJECT DESCRIPTION

The Impacting Gender & Nutrition through Innovative Technical Exchange in Agriculture (IGNITE) mechanism is a five-year investment funded by the Bill & Melinda Gates Foundation and implemented by Tanager to improve household nutrition and women’s empowerment by strengthening African institutions’ ability to integrate nutrition and gender into their way of doing business and their agriculture interventions.

IGNITE will work with African institutions to design, implement, and evaluate nutrition-sensitive and gender-integrated agriculture interventions.

IGNITE will also strengthen the ability of African institutions to incorporate nutrition and gender equality into their policy priorities and business practices—their way of doing business.

Based on the interventions implemented by IGNITE clients, IGNITE will identify key mechanisms and drivers of demand for the scale up and replication of nutrition-sensitive and gender-integrated interventions.

IGNITE activities will be targeted in Burkina Faso, Ethiopia, Nigeria, and Tanzania. Potential clients include NGOs, private sector companies, and government bodies working in agriculture.

POSITION SUMMARY

Tanager is seeking an office administrator based in their office in Nairobi, Kenya, to provide administrative, logistical, Operations support required by the IGNITE project team to successfully fulfill the deliverables of the IGNITE project.

This role will also ensure efficient and effectives day- to day operations of the Tanager office in Kenya.

This position will support colleagues and partners in East (Ethiopia and Tanzania) and West Africa (Burkina Faso & Nigeria) and will be required to have fluency in English and French (written and spoken).

This role reports to the IGNITE Procurement and Operations Officer.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Provide logistical and administrative support to the Operations officer and the entire IGNITE project team (25%)

  • Provide logistical support for events, conferences, and workshop including sourcing for venues, quotes, recce visits and contracting while also providing direct administrative support during events.
  • Provide administrative support to the entire IGNITE project team including scanning and printing of documents as well as managing the filing system on SharePoint for all procurement and Operations functions.
  • Provide support in the translation, drafting and review of administrative documents from English to French and vice versa. This will include client scopes, MOU’s, minutes etc. On occasions will be called to sit in meetings that require basic non-technical interpretations.

Manage day-to-day office operations (50%).

  • Professionally manage the front office desk including managing phone calls and other correspondence (Visitors, emails, packages, letters, enquiries etc.).
  • Manage the office meeting calendar for meeting rooms and manage all logistical issues related to hosting effective meetings within the office including good connectivity and adequate refreshment.
  • Manage and document scrum meetings by taking minutes during the meeting and upload the same on the teams’ channel where they can easily be accessed.
  • Oversee the office cleaning and maintenance of a clean work environment for all staff.
  • Provide support to the procurement and Operations manager in onboarding new staff members and ensuring they are well equipped to undertake their work.

Provide support on the procurement of project -and – office -related materials to ensure effective delivery of activities and services (25%)

  • Support the procurement process by sourcing quotations from suppliers and pulling together simple procurement packages and ensuring that the procurement process is systematic transparent and compliant with Tanager procurement policy.
  • The office administrator is responsible for receiving all goods delivered and keeping consistent records of the same. For technical services, the office administrator is responsible for compiling all applications and sharing with the technical leads for each procurement.
  • Maintain a clean data base of third – party services provided to be used as a reference point for procurement.
  • Work with the Accountant to provide support in managing third party services provider relations.
  • This will include sharing correspondence with regards to payment advise slips and other related financial obligations if applicable.
  • Provide logistical support to the Procurement and Operations Officer in managing IGNITE project team travel logistics including visas, ticket booking, lodging arrangements, etc.

Other duties as assigned by the supervisor.

QUALIFICATIONS

  • Diploma or degree in business administration, management, or related field
  • Minimum of three (3) years for Diploma holders or two years (2) for Degree holders of progressive work experience in office management, administration, procurement and /or facilities management.
  • Outstanding organizational skills including ability to multitask and work under pressure in a fast-paced team environment and the ability to respond rapidly to changing environment.
  • Strong planning skills.
  • Excellent administrative, record keeping and online filing system skills.
  • Excellent oral communication skills in both English and French
  • Strong written communications skills, including demonstrated ability to write required documents in a clear concise, well-organized manner in both English and French.
  • Advanced computer skills in a window-based environment including word, Outlook, PowerPoint, Excel, SharePoint
  • Accuracy and great attention to detail.
  • Working professional proficiency in English and French is required
