Position Title: HR Assistant

Industry: Manufacturing / Factory

Location: Nairobi

Key Responsibilities

  • Formulate and manage the implementation of HR policies and systems in alignment with the company’s strategy to ensure overall compliance as well as employee engagement and satisfaction.
  • Implement the disciplinary procedures to all staff deployed in the Factory
  • Grievance handling in Liaison with the Supervisor on all issues involving staff within the company’s operations.
  • Promote good industrial relations among employees and manage the Labour union/office.
  • Identify and implement HR best practices aligned to the company’s strategy and to create an employer of choice brand.
  • Responds to manpower deficit by calling in replacements from the approved pool.
  • Develop, recommend and implement sound employee relations programs to ensure the highest level of mutual understanding between employees and management.
  • Oversee the entire payroll function ensuring accuracy and alignment to approved budgets.
  • Administer the implementation of health and safety policies and processes and ensure continuous staff education on health and safety activities to ensure security continuity and safety of the company and its employees.
  • Ensure accurate and timely HR monthly and annual reporting.
  • Resolve employee grievances as per agreed SLA`s
  • Monitor attendance at branch level and give attendance reports to HOD`s, Director and MD.
  • Be actively involved in recruitment by preparing job adverts posting ads, calling shortlisted candidates for scheduling of interviews
  • Create and implement effective onboarding plans for all new joiners in their specific departments.
  • Maintain employee records according to policy and legal requirements
  • Sit/Chair disciplinary hearings, document the minutes and prepare letters as per the local’s rules
  • Letter Administration as per company template- appointment letters, warning, and transfer and promotion letters.
  • Printing and issuing of payslips, doing exit interviews, leave management, administer employee surveys.
  • Updating personal files to ensure all records are maintained, retrieve such information as and when needed
  • Maintain the database of all interviewed candidates for future reference
  • Data entry into the HR software to maintain the employee records online
  • Taking new employees through induction and onboarding program
  • Support all new joiners through the employee orientation process

Education, Competencies & Qualifications

  • Bachelor degree in Human Resources
  • Higher Diploma in Human Resources
  • A member of IHRM
  • At least 5 years experience of working in HR in a busy manufacturing environment, including administration of statutory payments
  • Experience in supporting managers across a variety of departments at different levels in all aspects of HR
  • Knowledge of HR functions (pay & benefits, recruitment, training & development etc.)
  • HR Communication- writing letters for records
  • Understanding of WIBA and Health Insurance policies
  • Ability to manage and investigate disciplinary cases as per law
