Request for Proposals: Accounting Services
Land O’Lakes Venture37 (Venture37) is soliciting proposals from qualified providers of finance and accounting services, which are required for the Nourishing Prosperity Alliance project under RFP number 2023-NPA-KE-PROC-0005 for services to be performed in Kenya.
Project Overview
Land O’Lakes Venture37 (www.landolakesventure37.org) is a 501(c)(3) nonprofit committed to helping communities around the world thrive through agriculture. We strengthen economies by improving local agriculture, help agribusinesses create jobs, and link farmers to markets. We deliver integrated solutions that help build and improve food and agriculture systems by providing solutions for more competitive markets, more resilient systems, more nutrition-secure communities, and more inclusive societies. Venture37 is implementing the Gates Foundation-funded Nourishing Prosperity Alliance project in Kenya. The purpose of the NPA project is to establish commercially viable and sustainable forage markets that equitably strengthen the regional competitiveness of the dairy industries in Kenya and Ethiopia.
The finance and accounting services consultancy will assist in all project accounting and financial reporting for the Nourishing Prosperity Alliance project in Kenya. S/he will report directly to the Senior Finance Manager in Ethiopia and coordinate with the National Coordinator in Kenya. Services will be paid for actual cost based on a level of effort agreement.
1. Goal / Objectives
This finance and accounting services consultancy will assist in all project accounting and financial reporting for the Nourishing Prosperity Alliance project in Kenya. S/he will report directly to the Senior Finance Manager in Ethiopia and coordinate with the National Coordinator, Kenya. Services will be paid for actual cost based on a level of effort agreement.
2. Key Activities
It is expected that the consultant will be responsible for completing the following tasks to support project activities:
- Responsible for the processing of all local payments in Kenya for the NPA project and recording payments in internal systems
- Prepare payment vouchers and ensure all supporting documents are included with each payment in accordance with Venture37 and donor policies and procedures
- Contribute to monthly Kenya operating funding requests to ensure it includes NPA project needs
- Follow up on the settlement of advances to staff in a timely manner
- Communicate with local suppliers and hotels and obtain invoices and other supporting documents
- Assist the Senior Finance Manager with preparing the monthly end financial reporting package
- Contribute to the completion and submission of timely required salary statutory deductions to the relevant government authorities on a monthly basis
- Assist with the filing of all required tax returns, VAT reporting and other official documents to the local government
- Review and process approved cost share collected by other V37 staff
- Assist in maintaining monthly financial files in both hard and soft copies
- Assist with any external audits by completing requested materials and assigned schedules
- Assist in procurement processes, including soliciting quotes for local items and compiling supporting documentation
- Other finance and accounting tasks as assigned by the Senior Finance Manager
How to apply
Submitted bids are required to consist of a technical proposal (including: organizational background; outline of proposed services, solutions and team; and names and qualifications of the team), price offering (including: detailed budget; budget narrative) and supporting documentation (official documents of eligibility to do business in Kenya and two references).
