Executive Administrator Job Vacancy in Kenya

Our client, a religious congregation within the Catholic Church, is looking for an Executive Administrator.

The Executive Assistant will serve as a trusted assistant, providing high-level support to the congregation.

The role holder is expected to maintain complete professionalism, confidentiality and service attitude to all.

The position shall be responsible for supporting the projects within the Church as the first-point of contact and information centre.

The position requires a cheerful, pleasant and friendly person with a caring Christ-like spirit, able to interact and effectively work with a diversity of people.

Duties and Responsibilities

  • Oversee the day-to-day operations of the centres
  • Overseeing the implementation of new policies and procedures to ensure they are carried out effectively
  • Coordinating activities between departments to ensure that projects meet deadlines and goals are met within budget
  • Maintaining a database of contacts and scheduling meetings with prospective clients
  • Project Planning, setup and implementation
  • Good communications skills
  • Conduct research and compile data as requested by the executive team
  • Create and maintain detailed reports and presentations as requested
  • Serve as the primary point of contact for all internal and external inquiries on upcoming and active projects
  • Participates in innovation efforts and initiatives
  • Manage the Office and projects budget as directed.
  • Prepare cheque requests, invoices, and timesheets, and provides executive’s seal/signature for formal documents as authorized and supported by formal written approval.
  • Maintain an organized and efficient office environment, ensuring all supplies are stocked and all equipment is properly maintained
  • Maintains files and records
  • Perform any other duties as assigned

Qualifications, Experience, and Knowledge:

  • Undergraduate degree
  • 5 years’ experience in a similar position
  • Basic Accounting Knowledge/Experience
  • Fluency in English and Kiswahili (oral and written) and have excellent all round communication skills
  • Skilled in the use of apps and technology
  • Superior organizational skills and multitasking ability
  • A good team player with the ability to work independently
  • Proficient in Microsoft Office Packages, with aptitude to learn new software and systems
