Position Title: Community and Facility Officer

Brief about the Role: The SNDBX is a permanent residency of more than 30 professional disciplines under the same roof who work collaboratively to serve entrepreneurs.

The Community and Facility Officer serves as the brand ambassador for the SNDBX. They are a reflection of the ideal member of the SNDBX community.

The SNDBX Community and Facility Officer shall primarily be in charge of:

  • Growth and development of the SNDBX Community
  • Managing SNDBX Community relationships and engagements (including Events Management)
  • Facilities Management
  • Finance and Administration

The individual will also be mandated to develop and grow the SNDBX Community’s network of clients, entrepreneurs, partners and club members.

Key Responsibilities:

Community and External stakeholder management

  • Events and Meetings – Provide assistance in completing special projects/assignments that involve the operations of the centre
  • Organize and schedule centre events for internal and external clients
  • Build and curate each community – working across digital and social channels to drive awareness and engagement, linking network members to facilitate meaningful wider connections, maximizing attendance at events and workshops (both face-to-face and virtual)
  • Events/Meetings – Plan and deliver an engaging calendar of events
  • Planning agendas, securing speakers, creating promotional copy, promoting to members, driving registrations, and managing delivery
  • Gather member feedback and insight through regular surveys
  • Track membership status and alert relevant reams regarding renewals

Facilities Management

  • Manage Front Desk enquiries;
    Oversee the assignment of offices/workspaces and the movement of general office furniture and other items in personal offices and work areas as requested by the occupants;
    Liaison with office vendors/suppliers;
    Monitoring management of the office storage, training facilities, meeting rooms, reception, support services (copy, mail, messenger/delivery services) and supplies
    Relationship management with the building facility manager and SNBX entities.

Finance / Administration Items

  • Oversight of all office utilities
  • Monitoring management of the office records and supplies.
  • Filing and curation of company documentation

Knowledge, Skills and Abilities:

  • Experience in Community management for similar hubs and offices, with a track record of building communities.
  • Confident and firm personality, able to handle delicate situations with professionalism.
  • Analytical mind – able to assess Community needs and implement tangible solutions.
  • Entrepreneurship mindset – able to appreciate the needs and concerns of the SNDBX Community and their clients.
  • Operational – an understanding of administration, facilities management and inventory management.
  • Flexible – the work involved is service oriented.
  • Time Management – Must be able to perform the essential duties of the position with time constraints and interruptions.
  • The role requires a high level of mental effort and strain when performing essential duties.
  • The role frequently requires more than 40 hours per week to perform the essential duties.

Qualifications:

  • Bachelor’s degree or a Diploma in a Business-related field (additional qualification or practical experience, in Communication, Event Management, or Community work would be an added advantage).
  • 2 years of progressively responsible work experience with a professional service firm with direct experience in managing business operations including planning, administrative and purchasing functions.
  • Proficiency in Meeting Scheduling Software, Facilities Management and Co-working Office Space Management Software.
  • Good oral and written communication skills (English and Swahili).
  • Basic understanding of budgeting.
