Position Title: IT Assistant

Location of activity: Within Kenya, Nairobi, East Africa

Duration: 5 Months (From September 2023 to December 2023) with possibility of extension

Direct supervisor: Head of Support Services

Peace Winds Japan (PWJ) is a Japanese Non-Governmental Organization established in 1996. PWJ has been providing humanitarian and development assistance for people affected by forced displacement and natural disasters in more than 20 countries in the world.

PWJ launched its mission in Kenya in 2012 and has been implementing projects funded by UN agencies and the government of Japan in shelter, WASH and youth development to improve living environments of refuge and host populations while promoting peaceful coexistence and self- reliance in the communities in Dadaab, Kakuma and Kalobeyei.

PWJ is UNHCR partner responsible for WASH, Warehouse, Motor vehicle Service Unit, centralized fleet and fuel management for Dadaab Refugee Operations.

Main Duties and Responsibilities: -

Technical Support

  • Provide technical support to staff members regarding hardware, software and network issues.
  • Diagnose and resolve technical problems, both in-person and remotely ensuring minimal disruption to daily operations.
  • Assist with setup, configuration and maintenance of computers, laptops, printer and other peripheral devices.
  • Conduct regular system audits to identify and rectify potential vulnerabilities or issues.

Software and Hardware Maintenance

  • Install, update and maintain operating systems, software applications, and security patches on organizational devices.
  • Perform routine maintenance tasks such as cleaning computers, troubleshooting connectivity issues, and managing software licenses.
  • Monitor hardware performance and suggest upgrades or replacements as needed

Network Support

  • Assist in the setup and maintenance of the organizations local area network (LAN) and Wi-Fi networks.
  • Troubleshoot network connectivity problems and assist in resolving internet-related issues.
  • Collaborate with the IT experts to ensure data security and compliance with the best practices.

Data Backup and Recovery;

  • Implement and manage data backup procedures to prevent data loss.
  • Assist in developing disaster recovery plans and strategies to ensure data integrity and continuity in case of emergencies.

User Training

  • Provide training to staff members on the proper use of hardware and software tools.
  • Create user-friendly documentation and guide to aid employees in resolving common IT issues independently.

Inventory Management

  • Maintain an accurate inventory of IT assets, including hardware, software licenses and peripherals.
  • Assist in procurement processes for new IT equipment and supplies.

Security and Compliance

  • Assist in implementing security protocols, including antivirus updates, firewalls and access controls.
  • Stay updated on the latest security threats and recommend measures to safeguard the PWJ’s digital assets.

Collaboration

  • Collaborate with the IT team and other departments to understand technology needs and devise effective solutions.
  • Participate in team meetings, brainstorming sessions, and cross-functional projects.

Required qualifications, skills and experience

  • A diploma or degree in Information Technology, Computer Science or a related field.
  • Proficiency in operating systems (Windows, MacOS) and office productivity software (Microsoft Office, Google Workspace).
  • Basic understanding of computer networks, hardware components and peripherals.
  • Strong problem-solving skills and the ability to troubleshoot technical issues.
  • Effective communication skills, both verbal and written.
  • Ability to adapt to evolving technologies and a willingness to learn.
  • Knowledge and data backup and recovery processes is a plus.
  • Familiarity with IT security practices and protocols is advantageous.

LANGUAGE SKILLS

  • English: professional fluency
  • Kiswahili: native/advanced
