Job Title: Hospital Matron

Job Summary: The position is responsible for providing overall leadership and strategic management to enable the Hospital to deliver quality nursing services and related activities.

In collaboration with the Hospital Management Team the incumbent will ensure compliance with relevant regulatory requirements, standards and protocols relating to nursing care, plan for and allocate the Nursing Care resources in an efficient and economical manner and be accountable for the efficiency and effectiveness of nursing services in the Hospital.

Key Responsibilities

Leadership and Management

  • Ensure that the Hospital’s philosophy and values are reflected in the delivery of nursing services.
  • As a member of the Hospital Management Team, support the development of the Hospital’s strategic and business plans to ensure the delivery of comprehensive and coordinated health services.
  • Provide leadership and accountability in management of the nursing services and ensure prudent use of resources.
  • Provide overall guidance and technical support in nursing services to the Hospital Management Team, the nursing services team, and all departments.
  • Ensure effective participation and contribution to the Hospital Management Team and other management organs.

Management of Nursing Services

  • Plan, organize and direct the Hospital’s nursing services for delivery of compassionate, high quality, efficient and effective nursing care to patients.
  • Provide leadership in development, implementation, and monitoring of policies, procedures, regulations, standards, and adaptation of medical protocols that conform to professional standards and ethics, government regulations, and comply with existing laws and regulations.
  • Work in collaboration with the Medical Officer-in-Charge, develop and maintain standard operating procedures and quality standards for the Hospital that comply with government policies and regulations that comply with the level at which it is classified.
  • Plan, direct, and coordinate clinical nursing procedures and standards including quality assurance, ensure continuous reviews and assessments are undertaken to ensure consistency with nursing practice and protocols and to incorporate new developments in nursing practice.
  • Ensure that all nursing staff in the Hospital delivers nursing services in compliance with documented policies, procedures, standards and nursing protocols.
  • Ensure effective working relationships exist between nursing staff and doctors, clinical officers, as well pharmacy, ambulance, laboratory, and radiology staff for adequate attention to patients.
  • Ensure that high professional ethics and efficiency are maintained by nursing staff and ensure accurate administration of prescribed medicine and other medical procedures.

Line Management, guidance and support

  • Nurture a strong management team and workforce with ability to deliver nursing services to the standards established by the Hospital.
  • Provide guidance, direction, and professional leadership to line managers within the Department and maintain a work environment that encourages and promote teamwork, efficiency and excellence in service delivery and build good relationship with the other Departments to ensure holistic quality service delivery by the Hospital.
  • Establish effective communication within the Department and the wider organization with clearly defined communication channels, lines of reporting and authority.
  • Facilitate regular team meetings of the Department to promote communication and information sharing, discuss service delivery issues, and to discuss any other concerns and/or developments.
  • Ensure an effective performance management process for the Department and effective use of the outcome to on reward and development of staff.
  • Promote a culture of continuous learning and development within the team.

Budget and Resource Management

  • Coordinate and lead the budget development process for the Department, regularly monitor the expenditure against budget allocation and ensure proper charge out for ancillaries used.
  • Ensure all Departments in the Nursing Services Department maintain adequate stock levels of care related items.
  • Responsible for the proper and economic use of materials and equipment used by the Department in consultation with the Medical Officer in Charge and the Administrator.

Relationship Management

  • Develop and maintain good relations with beneficiaries and local community.
  • Build and maintain productive relationships with external agencies for collaboration, support and information sharing.
  • Represent the Hospital in relevant forums at the local, national and international levels.
  • Create and exploit channels of communication for getting information and feedback from local community leaders, opinion holders and stakeholder.

Pharmacovigilance / Therapeutic Committee

  • To monitor the effects of medical drugs after they have been licensed for use, especially in order to identify and evaluate previously unreported adverse reactions.

Requirements

  • Diploma in Nursing
  • Upgrade to degree in nursing
  • Valid practicing certificate issued by the Nursing Council of Kenya.
  • Appropriate Certification and/or training in managing a health care delivery institution and the requisite performance standards
  • Substantial post-registration nursing experience at least 5 years of which has to be in a similar position.
  • Strong leadership, strategic and business management abilities.
  • Strong communication, interpersonal and relationship management skills
  • Ability to work as a member of a large multidisciplinary team.
  • Excellent communication and organizational skills.
