Position Title: Administrative Officer

The Kenya Conference of Catholic Bishops (KCCB) – General Secretariat is the national administrative, facilitative and coordinative arm through which KCCB undertakes all responsibilities which express the KCCB mission in Kenya.

KCCB is the prime recipient of a grant entitled KCCB-ACTS (Accelerate, Transition, Sustain) awarded by the Centers for Disease Control and Prevention (CDC) under the U.S. President’s Emergency Plan for AIDS Relief (PEPFAR).

KCCB is seeking candidates to fill the position of Administrative Officer.

KCCB-ACTS/9/2022/06 – ADMINISTRATIVE OFFICER

JOB PURPOSE: The Administrative Officer will organize, and coordinate administration duties and office procedures and lead in creating and maintaining a pleasant work environment, and ensuring high levels of organizational effectiveness, communication and safety.

The Administrative Officer will ensure that the administrative activities within the office run smoothly on a daily basis.

KEY RESPONSIBILITIES

1. Ensuring that the office is kept clean at all times, office orderliness is maintained with a professional outlook

2. Scheduling meetings and appointments within the office and ensure appropriate communication, prepare boardroom/meeting rooms for meetings; organize for beverages and lunch for meetings as requested by the conveners;

3. Planning and coordinating the administrative functions both in-house or off-site activities, provide logistical support during workshops, events, conferences etc.

4. Maintaining basic administrative asset tracker logs (i.e. kitchen items, security and vehicle equipment etc)

5. Ensuring that the office meets fire, health and safety requirements;

6. Identifying and allocating office space, equipment and furniture.

7. Following up for maintenance and repair of office equipment, facilities and buildings;

8. Assisting in the facilitation of security, fire, life safety training and briefings for all staff.

9. Identifying and recommending obsolete assets for disposal

10. Protecting the Centre’s assets relative to theft, assault, fire, and other safety issues

11. Ensuring the security, safety, and well-being of all personnel, visitors, and KCCB-ACTS premises

12. Responding to emergency situations to provide necessary assistance to employees and or visitors

13. Develop weekly/monthly field travel schedules and coordinating between program staff and drivers to allocate use of vehicles.

14. Ensuring safe staff working practises and customer safety procedures strictly followed by all.

15. Performing other duties as assigned

Minimum Qualifications, Experience & Skills

1. A minimum of a National Diploma in Office administration /Business Administration or related field.

2. Three (3) years’ experience as an administration Officer in general office management and administration required.

3. Ability to communicate effectively;

4. Ability to work independently or as part of a team on multiple tasks in a high intensity environment;

5. Strong individual initiative, including the ability to manage daily activities and achieve expected results with minimal oversight;

6. English language fluency (strong written and verbal skills) required;

7. Excellent computer skills (Word, Excel, Power Point, and Outlook);

8. Strong organizational and planning skills required;

9. Good Interpersonal Skills
